Adding Staff

Preface

Out of the box, only the server owner has access to Archivian — and possibly administrators, if an administrator added it. So if you want others to have access, you need to do two things:

• add them as staff, and
• assign them titles with permissions.

How to add staff

There are several ways to invite or add staff to Archivian, but you’ll find them all in the same place.

1. From the side panel, find the Staff Management category.
2. Find the Your staff team section in the sidebar.
3. Click the Add + button.

If the server owner added Archivian, an automatic invite link may have been generated for you. You can share it with your staff team so they can add themselves.

Only active staff count: retiring a staff member frees their spot, and bringing them back takes it again. The server owner always has access, even if the limit is reached. If your server already has more staff than its limit, everyone keeps their access; you just can’t add more until you are below it.

The alternatives

Depending on your server’s size, the alternatives available to you may differ, but here’s an explanation of all of them.

Search in Server

Brings up a search field. Here you can find members in your server by entering their nickname, username/tag, or user ID. Results show up to the 4 best matches. Click a user to add them to the queue, or click them in the queue to remove them. Once your queue is ready, click the button to import all queued members as staff.

User IDs (currently unavailable)

Enter the Discord user IDs (snowflakes) of the users you want to add as staff. On completion, they’re added as staff instantly, whether or not they’re in the server.

Import from Server Role (currently unavailable)

Only available for smaller servers. Search for a Discord server role, and once one is selected, have Archivian bring up a list of all members with that role. You can remove members from the list if needed, then click a button to add all of them as staff.

Invite Link (currently unavailable, unless already generated)

If the owner added Archivian, an invite link may have been generated once all the setup steps were completed. This link can be shared with staff so they can add themselves. The link lasts for 14 days, and has some requirements that must be met for it to be valid for the user trying to use it. They must:

• be in the server, and
• have at least one moderator-related permission:
  • Manage Nicknames
  • Manage Messages
  • Manage Roles
  • Manage Channels
  • Move, Mute, or Deafen Members
  • Ban, Timeout, or Kick Members
  • …or higher-level permissions.
