First Time User

This guide helps first-time users of Archivian set it up and manage it.

Some bots let you add them directly through Discord’s interface. Archivian requires a bit more: to add it to your server, you first need to log into the dashboard with your Discord account.

Once logged in, you’ll find a button to add Archivian to a server on your personal dashboard landing page. From there, a guide takes you through adding it and doing the core setup of Archivian on your selected server.

Archivian has its own permission system, separate from Discord. Every staff member must be added as a staff member on the platform. Then, for those staff members to have any permissions at all, they must also have a title.

Permissions aren’t given directly to users — they’re given to titles. So whatever title a staff member has determines the permissions they get. The server owner has an automatic exception that grants them full access even without a title, and administrators of the server may have this too, if certain conditions are met.

If you have staff members, the first step is usually to set up titles.

  1. Navigate to Staff Management.
  2. Find the Staff Titles section in the sidebar.
  3. Click the button to create a new title.

The name of the title is used in the UI. The description is rarely shown — it’s mostly there for details about the title. For example, you might name a title “Moderator” or “Administrator”.

Unlike Discord’s server roles, a staff member can only have one Archivian title assigned at a time.

A newly created title has no permissions, so the next step is to assign some. Permissions are added in one of two ways:

  • Permission sets
  • Custom permission nodes

Permission sets are pre-made groups of permissions we’ve put together. The library keeps expanding as more features are added and more presets are requested. Adding a permission set is as easy as dragging and dropping one into your title:

  1. While browsing a title, click the Permissions sub-tab.
  2. Click the Manage Sets button.
  3. Drag permission sets from the left side into the field on the right.
  4. When you have the sets you want, save the changes.

Custom permission nodes aren’t yet publicly available for editing, but if you have special requirements, reach out to support staff. They allow full, precise control over permissions when the permission sets aren’t enough or something is missing.

By default, new staff members don’t have a title assigned. You can change this by going to a title’s settings and assigning it as the default in that title’s Auto-Granting tab. Only one title can be the default, so setting one replaces any existing default.

Once enabled, any new staff member who is added or joins automatically receives this title. In larger, established servers this might be something like a “Trial Moderator” title.

Now that you have title(s) and Archivian set up, it’s time to add staff members. Since Archivian has its own permission system, staff must be added explicitly.

  1. From the side panel, find the Staff Management category.
  2. Find the Your staff team section in the sidebar.
  3. Click the Add + button.

If the server owner added Archivian, an automatic invite link may have been generated for you. You can share it with your staff team so they can add themselves.

See the Adding Staff guide for all the ways to add staff.

After permissions and staff are taken care of, you may want to tweak some settings for various features. Archivian enables a lot out of the box, and hopefully those defaults suit you.

In the dashboard, each category may have its own settings page for that specific feature. So if you want to browse or configure something, first find that category.
